We collect information you provide directly to us, including: • Account information: email address, business name, business type, website URL, and phone number when you register. • Business configuration: custom greetings, business hours, FAQs, and other settings you enter during onboarding. • Payment information: processed securely by Stripe. We do not store your full credit card details. • Call data: recordings, transcriptions, and summaries of calls handled by your AI receptionist. • Caller information: phone numbers and any information callers share during calls. We also automatically collect certain technical information including IP address, browser type, device information, and usage data when you use our Service.

3. How We Use Your Information

We use the information we collect to: • Provide, maintain, and improve the Service • Process transactions and send related information • Send administrative information, updates, and support messages • Respond to comments and questions • Monitor and analyze usage patterns to improve user experience • Detect and prevent fraudulent or illegal activity • Comply with legal obligations We do not sell your personal information to third parties.

4. Call Recording and Caller Data

Our Service records and transcribes phone calls handled by your AI receptionist. These recordings and transcriptions are stored securely and made available to you through your dashboard. You are responsible for notifying your callers that their calls may be recorded, as required by applicable law. Caller phone numbers and information shared during calls are stored in association with your account. We retain call data for up to 90 days unless you request earlier deletion.

5. Information Sharing and Disclosure

We may share your information with: • Service providers: third-party vendors who help us provide the Service, including Supabase (database), Twilio (telephony), ElevenLabs (AI voice), Stripe (payments), Resend (email), and Vercel (hosting). These providers are contractually obligated to protect your information. • Legal requirements: if required by law, court order, or governmental authority. • Business transfers: in connection with a merger, acquisition, or sale of all or a portion of our assets. • With your consent: for any other purpose with your explicit consent. We do not share your business configuration data, call recordings, or caller information with any third parties for advertising or marketing purposes.

6. Data Security

We implement appropriate technical and organizational security measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit (TLS), encrypted storage, access controls, and regular security reviews. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your account information for as long as your account is active or as needed to provide the Service. Call recordings and transcriptions are retained for 90 days by default. You may request deletion of your data at any time by contacting us at hello@hireaireceptionist.com. Upon account cancellation, we will delete your data within 30 days, except where retention is required by law.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information: • Access: request a copy of the personal information we hold about you. • Correction: request correction of inaccurate or incomplete information. • Deletion: request deletion of your personal information. • Portability: request a machine-readable copy of your data. • Objection: object to certain processing of your information.
